Terms and Conditions
Last updated: October 20, 2026
The short version
- ECM is a free tool for keeping your church's members, giving and attendance.
- Your church's information is yours. We use it only to run ECM for you. We never sell it.
- Keep your sign-in safe, and only add information you have the right to add.
- ECM is provided as it is. Keep your own copies. Exporting your data takes a minute.
- If nobody signs in for 12 months, we warn you first and may then delete the account.
This summary is only a guide. The full terms below are what you agree to.
1. About these Terms
These Terms are an agreement between you and Ekklessent Church Management ("we", "us" or "our"). They cover your use of ECM at https://ecm.ekklessent.com (the "Service").
By creating an account, by signing in after we update these Terms, or by otherwise using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the Service.
If you use ECM for a church, you confirm that you are allowed to act for that church and to accept these Terms on its behalf. In these Terms, "you" means you and the church.
2. Your account
- You must be at least 18 years old to have an account.
- Give us accurate, current information, and keep it up to date.
- Keep your password, two-factor codes and passkeys private. Please do not share your sign-in with anyone. Give each person at your church their own.
- You are responsible for what happens under your account. If you think someone else has used it, tell us right away.
- A church's Administrator can add other people to the church's account and gives each one a role that decides what they can see and change. The Administrator is responsible for who is added and for the role each person is given, and can change a role or remove a person at any time. Each person must accept these Terms to sign in, and must be at least 18.
- Only an Administrator can delete the church's account, at any time in Settings, under Profile. Deleting it deletes the church's information and the sign-in of every person on it.
3. Your church's information
"Your information" means everything you put into ECM: members and visitors, contributions, attendance, notes, lists, settings and anything you import.
- It is yours. We do not own it.
- What we may do with it. You give us permission to store, copy and process your information only as needed to run, secure, support and improve the Service for you. That includes making backups and showing it back to the people you let sign in. We will not make it public, sell it, or use it for advertising.
- What you are responsible for. You must have the right to add the information, and you must use it lawfully. If you keep information about children, you are responsible for having any permission from a parent or guardian that your church's practice or the law requires.
- What not to enter. ECM is for ordinary church records. Please do not enter Social Security numbers, bank account or card numbers, passwords, or health information. (A bank routing number for printing deposit slips is fine.)
- Our access. Our support staff can see your church's information when they need to help you, fix a problem, keep the Service secure, or meet a legal duty. The Privacy Policy explains how that is limited and recorded.
- Unlawful content. We do not routinely read your information. If we are told that something unlawful is stored in ECM, we may look into it and remove it.
4. Using ECM fairly
Please do not:
- break the law, or use ECM to harass, mislead or harm anyone;
- try to see another church's information, or get around ECM's security;
- overload, disrupt or damage the Service, or send it viruses or other harmful code;
- copy, resell or offer ECM to others as your own service without our written permission.
We may suspend an account that does these things.
5. Emails from us
We will email you about your account: invitations to join a church, sign-in links, security notices, replies from support, and the warnings described below before an inactive account is deleted. These emails are part of the Service.
We may also email you about the Service itself, such as planned maintenance, an upgrade, or a change to these Terms. We do not send marketing or news emails.
6. The Service
- ECM is free to use today. If we ever charge for it, we will tell you at least 30 days before, and you will be able to export your information and leave.
- We work to keep ECM running, but we cannot promise it will always be available, fast or free of errors.
- We may change or retire features. If we remove something significant, we will tell you ahead of time.
- ECM helps you keep records. It is not legal, tax or accounting advice. Check reports and giving letters for accuracy before you give them to donors or use them for tax purposes.
7. Your copies and our backups
You can download a copy of your members, contributions and attendance at any time from Utilities, under Export your data. A member you delete can be restored for 30 days, then is removed for good.
We keep backups for up to 30 days so we can restore the Service if something goes wrong. They are not a way to recover individual records, so please keep your own copies of anything important.
8. Inactive accounts
If nobody at your church signs in to ECM or enters any information for 12 months, we may delete your church's account and everything in it, including its members, contributions and attendance. This keeps the Service free and keeps personal information from being held longer than needed.
Before we do, we will email the people on your account about 60, 30 and 7 days before the deletion date. Anyone signing in during that time keeps the account, and the 12 months start again. We will not delete an account without sending those warnings first.
A deleted account cannot be recovered. If you want us to keep an account that has gone quiet, contact us before the deletion date.
9. Ending your use of ECM
- You can stop using ECM at any time. An Administrator can delete the church's account in Settings, under Profile, which deletes the church's records and everyone's sign-in. Anyone else who wants to stop can ask an Administrator to remove them, or contact us.
- We may suspend or end your access if you break these Terms, if your account puts the Service or other people at risk, if the law requires it, or as described under Inactive accounts. We will give you notice when we reasonably can.
- When an account ends, we delete the church's information as described in the Privacy Policy.
- Anything in these Terms that is meant to continue after an account ends (such as ownership, the disclaimers, and the limits on our liability) will continue.
10. What belongs to us
ECM's software, design, name and logos belong to us or our licensors and are protected by copyright and trademark laws. You may use the Service as we offer it. You may not copy, modify, resell, or reverse-engineer it, except where the law allows. Your information stays yours.
If you send us ideas or suggestions, we may use them without owing you anything.
11. Links to other websites
ECM may link to websites we do not own or control. We are not responsible for their content or practices, and we suggest you read their terms and privacy policies.
12. No warranty
YOUR USE OF THE SERVICE IS AT YOUR OWN RISK. THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE", WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE AND NON-INFRINGEMENT.
We do not promise that the Service will work without interruption, be secure at all times, be free of errors or harmful components, or meet your particular needs.
13. Limits on our liability
TO THE FULLEST EXTENT THE LAW ALLOWS, WE ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, DATA, USE OR GOODWILL, ARISING FROM YOUR USE OF (OR INABILITY TO USE) THE SERVICE, WHATEVER THE LEGAL THEORY AND EVEN IF WE WERE TOLD THEY WERE POSSIBLE. OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE IS LIMITED TO THE GREATER OF $100 OR WHAT YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM.
Some places do not allow certain limits or exclusions, so some of the above may not apply to you. Where they do not, our liability is limited as far as the law allows.
14. If someone makes a claim against us
If a claim is made against us because of your information, your misuse of the Service, or your breach of these Terms, you agree to cover our reasonable costs of dealing with it, including reasonable legal fees.
15. The rest of the legal details
These Terms are governed by the laws of Arizona, United States, without regard to its conflict of law rules.
If a court finds part of these Terms unenforceable, the rest stays in effect. If we do not enforce a right right away, we have not given it up. These Terms and the Privacy Policy are the whole agreement between us about the Service and replace any earlier version.
16. Changes to these Terms
We may update these Terms. If a change is material, we will give you at least 30 days' notice before it takes effect, and we will decide in good faith what is material. The next time you sign in after an update, we will show you what changed and ask you to accept it.
If you do not agree to the new Terms, please stop using the Service, and export your information first.
